Returns and Refund Policies for Hair Wholesalers
If you’ve ever placed a bulk hair order only to open a box and find the texture is off, or the lengths are shorter than you expected, you know how high the stakes are when you’re working with wholesale margins. We’ve processed thousands of orders out of our warehouse over the last decade, and we’ve seen way too many buyers get burned by unclear returns and refund policies for hair wholesalers, skipping over fine print or assuming terms work the same way they do for retail Amazon purchases. They don’t.
Why wholesale return policies don’t work like retail
Retail hair sites might give you 30 or even 60 days to send back unused product for a full refund, no questions asked. Wholesale doesn’t work that way, and if you go in expecting that, you’re going to be frustrated. Most wholesale orders are custom pulled, sorted into specific length batches, or even colored to match client swatches, with margins sitting at 30-50% instead of the 200-300% markup retail brands charge.
We can’t restock a 2kg box of 22-inch loose deep wave that’s been sitting in your shop storage for three weeks, handled by your team, exposed to salon product fumes, or dragged across a styling station. Most legitimate wholesalers have a 3 to 7 day window from delivery to flag issues, period. That’s not us being difficult. That’s the only way we can keep prices low for regular buyers without passing on extra costs from unsellable returned stock.
The issues that actually qualify for a refund, no pushback
You won’t get pushback from a reputable supplier if you report factory defects within that initial window. What counts? Wrong texture shipped (you ordered body wave, got tight curly), length shortages across more than 10% of the bundles in your order, severe weft hair shedding that happens straight out of the package before any cutting or installation, or tape tabs that won’t adhere because of a manufacturing defect.
For these issues, we don’t make you ship the entire order back, either. We’ll ask for 3-4 clear photos or a 10-second video showing the issue, no fancy production required, and we’ll either send replacement bundles for the affected stock, issue a prorated refund to your original payment method, or credit it to your next order, whichever you prefer. We don’t charge restocking fees for verified defects, and we cover any shipping costs for replacements.
The problems that will almost never get approved for a return
Let’s be blunt. A lot of new buyers ask for full refunds for things that are just part of buying wholesale human hair, and those requests get denied every time. If you ordered 100 bundles of kinky straight and realized your clients want curly, that’s on you. If you installed, dyed, cut, or heat-styled the hair and decide it’s not what you wanted, no supplier will take it back.
If you stored the hair for two months before opening the box and find damage, we can’t verify it didn’t happen in your space, so no refund. If you expected hair to last 3 years with zero maintenance, that’s not a defect – even top-tier virgin hair only lasts 12-18 months with proper care. The occasional short gray strand or tiny split end on raw hair isn’t a defect, either; that’s real human hair, not synthetic plastic, and it’s impossible to remove every stray strand during processing without ruining cuticle alignment. We replace bundles with more than 2-3 gray strands per pack, but a single stray here and there is normal.

How restocking fees actually work (and when you’ll get charged them)
A lot of buyers see “restocking fee” on a policy page and immediately assume the supplier is trying to scam them. I get it. But think about the labor: when a box comes back, our team opens every bundle, inspects for damage, sanitizes packaging, re-measures lengths, and restocks correctly. That’s 1-2 hours of work per large order, plus the outbound shipping we already paid.
Most legitimate suppliers charge a 15-25% restocking fee for approved non-defect returns, standard across the industry. What counts as approved? If you reach out within 48 hours of delivery, hair is completely unopened in original packaging, seals are intact, and you have proof it hasn’t been tampered with, we’ll accept it back minus that fee, and you cover return shipping. If seals are broken? No return, no exceptions. We can’t risk selling used or tampered hair to another buyer – that’s how salons lose regulars fast. That rule applies across every line we carry, from loose bulk hair for braiding to pre-tipped extensions.
Custom orders never qualify for returns, even with a fee. That includes custom colored hair, rare length mixes we don’t stock, and orders over 50kg pulled just for you. We can’t resell that custom stock, so once you confirm details and we start prepping, sales are final.
The #1 mistake that makes resolving returns and refunds way harder
We see this every week. A buyer gets a delivery, drops the box in back storage, doesn’t open it for 10 days, then finds a problem and reaches out furious we won’t approve a full refund. I can’t stress this enough: open every box the second it lands on your doorstep. You don’t need a full QC lab test. Just knock out these quick checks first:
- Match bundle counts and length labels to your order confirmation
- Pull 2-3 random bundles per texture to check for shedding or misaligned cuticles
- Confirm tape tabs or pre-bonded tips are firmly attached, not cracked
It takes 10 minutes for even a 30-bundle order, and saves weeks of back and forth if something is off. If you flag an issue during that initial check, shoot our support team a message with your order number and photos, and we’ll resolve it same day most of the time. No hoops, no 3-hour hold times with reps who’ve never touched a hair bundle.
If a supplier advertises a zero-fee, 90-day return policy on all wholesale orders, take that as a red flag. Those factories usually cut corners on hair quality to pad margins enough to cover those return costs, and you’ll end up with hair that tangles after one wash. If you’re sorting through different supplier terms right now, our breakdown of how to compare hair extension quotes calls out those too-good-to-be-true claims as a warning sign. We keep our full policy posted on our FAQ page too, so you don’t have to dig through pages of fine print before you order.
Quick answers to the policy questions we get every week
Do I have to pay for return shipping on defective items?
No. If we made a mistake or sent defective product, we cover 100% of replacement shipping, and we won’t make you send bad bundles back unless we ask. Most of the time, we tell you to donate or discard them – return shipping on a handful of bad bundles costs more than replacing them.
What if my order gets lost or damaged in transit?
That’s on us, too. We insure every wholesale order for full value, so if a box gets crushed, lost, or stolen in transit, we’ll either file a carrier claim and send a replacement, or issue a 100% refund, whichever you prefer. Just let us know within 48 hours of the expected delivery date so we can start the claim fast.
Can I cancel an order after I pay?
If your order hasn’t entered the packing queue (usually within 24 hours of payment for in-stock items), you can cancel for a full refund, no fees. Once our team pulls inventory and starts prepping your shipment, we can only cancel for a 10% processing fee to cover restocking labor. Custom orders can’t be cancelled once production starts, since those items are made just for you.
At the end of the day, return policies exist to protect both you and us. We don’t make rules to make your life harder, and we never want you stuck with product you can’t sell or use on clients. The best way to avoid return headaches is to order small swatches first if testing a new texture, double check order details before submitting, and open boxes the second they arrive. If you’re ready to place your next order, our team is here to answer questions and make sure you get exactly what you need for your shop or salon.
