Q4 Cash Flow: Funding Holiday Hair Inventory Without Panic

Q4 cash flow doesn’t have to feel like bailing a leaking boat. Every fall, we see buyers wait too long, then pay rush freight or freeze cash in lengths that don’t sell. The goal isn’t to buy more hair than you can store; it’s to have the right hair on the shelf when Thanksgiving and New Year’s bookings hit.

Start with last year’s numbers

Before adding one bundle, pull last year’s sales by texture, length, and month. Q4 is concentrated: 20- and 22-inch body wave can fly while 30-inch sits until spring. Check sell-through, not just revenue, and note what needed discounting. New sellers should stay narrow—straight and body wave in 16 to 26 inches, plus a smaller deep wave run. This inventory turnover guide helps with stock levels, but don’t test five new textures in Q4.

Order in waves, and protect what lands

A September stock-up feels calm until all your cash is frozen. Land wave one by early October for proven sellers, ship wave two in late October once bookings appear, and place a small top-up by December 10. Air freight after that can cost $10 to $15 per kg and eat margin on a 100g bundle. Splitting can mean slight batch variation, so keep donor type, texture, weight, and color code identical. Salons book knotless and boho styles early, so bulk hair for braiding belongs in wave one.

Once the hair arrives, protect it. Human hair absorbs moisture, and sealed boxes can hide mildew in a damp garage or back room. Keep boxes off concrete, leave air gaps, and rotate older stock first. If you’re holding more volume than usual, these humidity-controlled warehousing habits are cheap insurance. Don’t let September stock get musty before November.

The deposit gap is where Q4 cash flow breaks

Terms usually run around 50% deposit and 50% before shipment. On a $7,500 order, that’s $3,750 down and another $3,750 due after QC, often 2 to 3 weeks later. Buyers get hurt when that balance hits a slow week. Keep at least 30% of the order total reserved, and don’t place the order if the balance depends on November sales that don’t exist yet.

  • Ready-to-ship: fast, lower MOQ, but a few dollars more per bundle.
  • Custom branded: often 50 pieces per style plus 2 to 4 weeks of production; cheaper per piece, but cash is tied up longer.
  • Air freight: rescues late orders and wipes out the savings if you planned poorly.

Cheap hair isn’t automatically the cash-flow win

A bundle that’s $8 cheaper looks like margin until returns and remake appointments hit. Hair advertised at 100 grams but arriving at 92 gets noticed fast by stylists. A consistent middle grade is usually safer when stock has to turn quickly. For weft hair, clean wefts and accurate weight beat fancy packaging; for tape-ins and k-tips, solid tabs and keratin reduce callbacks. Test one small higher-grade bundle next to your usual stock before scaling.

If October already feels tight

Don’t panic-order every length. Focus on the 10 to 15 SKUs that drive most of your sales, take nonrefundable client pre-orders, and choose ready-to-ship over custom production. Skip packaging redesigns and wild colors. A smaller, focused order beats a huge invoice you can’t pay off in January.

Quick questions before you order

When should holiday orders go in?

For custom labels, early September is safer because production takes 2 to 4 weeks and the first week of October includes Golden Week in China. Ready-to-ship can usually wait until mid-October, but popular lengths thin out. Don’t count on cheap air freight as a plan.

How much extra inventory should I carry?

For proven SKUs, 25% to 40% above your normal six-week demand is reasonable. Newer sellers should stay closer to 15% to 25% and reorder fast sellers instead of guessing on every length.

What if I can’t fund a full order right now?

Start with a ready-to-ship wave, use customer deposits to help fund wave two, and skip speculative lengths. A smaller in-stock selection is better than a massive balance due after the holidays.

Q4 rewards sellers who fund their best sellers and leave room to react. You can shop all hair extensions with your top-SKU list in hand, then book a wave you can pay off without panic. Get that part right, and the holidays feel like opportunity instead of a fire drill.
