How to Order Custom Hair Extensions From China
I’ve worked in our China-based hair warehouse for 8 years, and I can’t count how many first-time buyers message us panicking because they thought ordering custom hair extensions from China meant picking a length and color, then waiting two weeks. The reality is way more straightforward than random TikTok horror stories make it sound, but there are specific, non-obvious steps you have to get right to avoid getting a box of hair you can’t sell or use. We’ve put this guide together from the hundreds of orders we process every month, so you don’t waste money on miscommunication or wrong specs.
First, get crystal clear on what you actually need before you message a supplier
Too many buyers reach out with a vague line like “I need custom bundles” and then get frustrated when we can’t give them a price or timeline right away. You don’t need a 20-page spec sheet, but you should know the base construction first—are you ordering weft hair for sew-ins, k-tip hair for individual installation, or bulk for braiders? For every order, you’ll need to lock in hair grade (remember: 100% cuticle intact virgin hair is going to cost 30-40% more than remy that’s had a light acid bath, and that’s not a scam, it’s a real quality tradeoff), length (we measure pulled straight, so curly and wavy textures will read 2-4 inches shorter when installed), weight per piece (most wefts are 100g per bundle, tape-ins are 2.5g per sandwich, k-tips are 1g per strand, and if you want a different weight, that’s where custom kicks in), texture, and color. If you’re not sure exactly what custom tweaks are even possible, we broke that down in a separate post on what you can customize so you don’t ask for something factories literally can’t produce.
MOQs for custom hair extensions from China aren’t set in stone (but don’t ask for 3 custom bundles)
A lot of new buyers see “MOQ 50 pieces” on a site and immediately write off custom orders, thinking they can’t meet the minimum if they’re a small salon or solo braider. Here’s the real tea: standard stock colors and textures have super low MOQs, often 1 bundle if you’re buying off the shelf. Custom specs raise that minimum, but not as much as you might think. For a custom color (like a rooted balayage that’s not part of our regular line) on tape in hair or wefts, MOQ is usually 20 pieces, no matter the construction. For custom texture blends, like a 30% kinky straight / 70% loose wave mix for a specific client base, MOQ jumps to 50 pieces because we have to adjust the processing line exclusively for your run. For custom packaging with your logo, MOQ is 100 pieces, because the print shops we work with won’t run smaller label batches without charging a $150 setup fee that’s almost never worth it for smaller orders. If you’re just testing the waters and can’t hit those numbers yet, skip full custom on your first order. Grab stock pieces first, build up your client demand, then move to custom runs when you know exactly what sells.
Always sample before you lock in a full bulk order
I can’t yell this loud enough. Do not place a $2,000 custom order on your first chat with a supplier, even if their prices are amazing and their Instagram is full of pretty photos. We see this go wrong every single month. A buyer loves the sample photos, skips testing the actual hair, gets their full order, and realizes the color is two shades too brassy, or the curl pattern drops after one wash, or the wefts shed so bad they can’t sell them to clients. The fix is simple: order samples first. We wrote a full step-by-step on how to order hair samples the right way, but the short version is: order the exact grade, texture, and color you want for your custom run, not the “premium sample” a lot of suppliers send that’s way nicer than the bulk stock they actually ship. Test the sample yourself: wash it 3 times, heat style it, yank gently on the weft to check for shedding, hold it up next to the color swatches you use in your salon to make sure it matches. If the sample is off, tweak the spec with your rep before you pay the deposit for the full run. It adds 7-10 days to your timeline, but it saves you from throwing away thousands of dollars on hair you can’t use.
Understand the timeline and payment terms before you pay a dime
Custom orders don’t ship in 48 hours like stock pieces. I don’t care what a random supplier on AliExpress tells you—if they say they can ship a fully custom color run in two days, they’re lying, or they’re going to send you stock hair that’s close to what you asked for and hope you don’t complain. Let’s break down real timelines we stick to in our own factory, so you have a baseline: Sample creation takes 5-7 days, not including shipping time to you. Once you approve the sample and pay your deposit, production for a small custom run (20-100 pieces) takes 12-18 days. Larger runs (500+ pieces) take 25-30 days. Then you add shipping time: 3-5 days for express air to most US addresses, 14-21 days for cheaper sea freight if you’re ordering enough to fill a pallet. Payment terms are standard across most reputable China suppliers, too: 50% deposit upfront to cover raw material and labor costs, 50% balance due before we ship your order, after we send you photo and video proof of the finished hair. We never ask for 100% payment upfront, and you should run from any supplier that does. One common gotcha: if you change your spec after production starts (say, you decide you want 22 inches instead of 20, or a lighter blonde), you will pay a change fee, and you’ll add 3-7 days to your lead time. There’s no way around that—once we’ve processed the raw hair to your original spec, we can’t rework it without wasting material.
We see the same avoidable missteps pop up on 60% of first-time custom orders:
- Sending a phone photo of hair in bad lighting as a color reference, instead of a professional color swatch code, which leads to 2-3 rounds of costly color corrections
- Forgetting to specify if you want single drawn or double drawn hair (double drawn is 25% more expensive, but has far more short hairs removed for thicker, fuller ends)
- Assuming custom packaging is included in the per-piece price (it never is—expect to pay $0.50-$1.20 extra per piece for custom tags, bags, or printed boxes)
If you’re not ready to commit to a full custom run right away, you can mix and match stock pieces to test client demand by browsing all available hair extensions on our site, then reach out when you have consistent sales on a specific texture or color.
The questions we get asked 10 times a week
What if my custom order arrives and it’s wrong?
Honest answer? Mistakes happen, even with the best factories. If the error is on our end (wrong color, wrong length, shedding above our 2% threshold, construction defects), we’ll remake the affected pieces for free and ship them to you at our cost, or issue a partial refund if you don’t have time to wait for a remake. If the error is on your end (you gave us the wrong color code, you picked the wrong texture, you changed your mind after production finished), we can’t cover that cost, but we’ll usually offer a 20% discount on a corrected order to help make it right. We always send pre-shipment photos and videos for every custom order, so you can catch mismatches before the hair leaves our warehouse—please look at those photos closely, don’t just reply “looks good” without checking.
Can I get a custom order faster if I pay a rush fee?
Sometimes, but not always. If we have raw hair in stock that matches your grade and length requirement, we can usually cut production time by 5-7 days for a 15% rush fee. If we have to source specific raw hair (like rare 30-inch virgin Vietnamese hair, or a super coily 4c texture we don’t keep on hand), rush fees won’t help—we can’t process hair we don’t have. Never lie about needing a rush to get your order faster, either. We once had a buyer tell us they needed hair for a celebrity client in 3 days, so we pulled staff from other orders to prioritize their run, only for them to ghost on the balance payment because they weren’t actually ready to receive it. That’s a quick way to get blacklisted from most reputable suppliers.
Do I need to use a freight forwarder?
For orders under 100kg (roughly 200 bundles or 400 tape-in packs), standard express shipping works fine, and we handle all the customs paperwork on our end so you don’t have to do anything except sign for the box. For orders over 200kg, sea freight is way cheaper, and we can connect you with a forwarder we work with regularly who handles US customs clearances for hair orders, so you don’t get stuck with surprise brokerage fees that can add hundreds to your total cost.
Ordering custom hair extensions from China doesn’t have to be a high-stakes gamble. Most of the horror stories you hear come from buyers who skipped sampling, didn’t lock in clear specs, or went with the cheapest supplier they could find without checking reviews or talking to past customers. When you work with a supplier that’s transparent about MOQs, timelines, and quality tradeoffs, you can build an extension line that fits your exact client base without paying the huge markup domestic distributors charge. If you’re ready to lock in your spec sheet, just reach out to our team with your details, and we’ll walk you through the next step, no pushy sales pitches required.
